The delivery date and shooting date differ
If a roll spans days or months, one scan-delivery date cannot explain when its scenes occurred. A displayed file date needs verification before it becomes evidence of capture time. Treat shooting, processing or scanning submission, and file delivery as separate events.
You need not postpone organizing until every date is known. Start with a verified range such as ‘Roll shot in late summer; exact dates unknown.’ Avoid assigning arbitrary dates as facts merely to fill a neat calendar.
Give each roll a recognizable name
Before mixing scan deliveries, choose a name such as ‘Summer walks, roll A.’ Add the shooting period or camera only when known. Do not identify an uncertain film stock solely by its colors.
Connect lab envelope or file-list identifiers with your own roll name. Keeping original filenames and noting the mapping can make matching easier than immediately renaming everything. Do not assume all labs use the same naming scheme.
Connect frame clues only when verified
Check lab guidance or the film itself to see whether filename numbers represent actual frame numbers. They may simply be sequence numbers, so use ‘received file 12’ until confirmed. Add the frame mapping when you verify it.
Even with repeated scenes, you should be able to find a diary image among the originals. Try ‘Summer walks, roll A / received file IMG_012 / scene by the bridge.’ Do not rush to delete uncertain files or change their order just to align numbers.
Roll name: your identifier for finding the scan group again.
Original filename: retain the supplied wording for matching.
Frame information: record separately only when verified from film or supplied material.
Scene clue: add a brief description distinguishing similar images from one place.
Separate an estimated date range from its basis
Look for contemporaneous phone photos, itinerary notes, or companions' memories. Similar clothing or scenery alone does not establish an exact date. ‘Probably during the August trip, based on a phone photo of the same scene’ separates range and reasoning.
If the entry screen requires a date, explain whether it is the actual date or a temporary organizing choice. ‘Capture date unknown; initially organized on scan-delivery day’ is valid. When the date becomes known, update both placement and notes to reflect current knowledge.
Preserve originals separately from diary selections
The selected diary images help tell the shooting story. They do not replace storage of all scan originals or the film itself. Give cropped or brightness-adjusted versions distinguishable names and note the version used.
Store the delivered scan group with original names and verify that files open.
Record the roll identifier and delivery date separately.
Choose meaningful scenes without immediately deleting similar files.
For diary images, include original-file clues and the certainty of the capture date.
Reopen saved entries to check that scenes and date notes match.
Keep both the roll's continuity and each day's story
If a roll contains travel and ordinary walks, separate entries by date while retaining the same roll name in notes. If most dates are unknown, start with the roll's overall story and date verified scenes gradually.
In Pogaem, save photos and notes on confirmed dates and revisit them in calendar or album views. You connect the clues yourself; the app does not automatically recognize rolls and frames. Choose scenes revealing the times and places you carried the roll, not only matching colors.
Frequently asked questions
Can I use the displayed scan-file date as the shooting date?
First check what the date represents. Delivery and shooting dates may differ. If unknown, label the estimated range or temporary organizing date in the note.
Does a filename number identify the film frame?
Not necessarily. Verify it against supplied guidance or the film. Until then, retain the original filename as a retrieval clue.
How do I organize a roll shot over several months?
Split confirmed dates into dated entries and retain the shared roll name. For uncertain scenes, note ranges and evidence and add details as they are confirmed.
